Sending export samples to foreign buyers – things to keep in mind.
Sampling is the first
step in the process of exporting, and it is natural for Indian exporters,
especially those who are new to the trade, to experience some uncertainties at
this stage.
The export business revolves around the trade of goods
and services, and therefore, it is extremely important for the buyer to see and
test the sample before placing an order or investing in it. Since the foreign trade happens beyond the local geographical boundary, there are often concerns
that arise in the minds of the Indian exporters. These usually revolve around
the cost, carrier, safety, and financial implications.
Even though this is an important part of the export journey, it
is not as complex as it appears to be. If you follow a few simple steps and
guidelines, this will be a smooth sail.
·
Communicate with your
buyer and understand their exact requirement before you choose to send the
sample and analyze through import export data.
·
In case the value of
your product sample is high, you may request the buyer to transfer the amount
to your account prior to shipping. If it is inexpensive, then you can send it at
no additional cost.
·
If you are shipping the
sample to a foreign country, then you can avail yourself of the services of
government agencies who offer financial assistance. The Export Promotion
Council or the Commodity Board will be able to provide you with further
information in this regard.
· When you are ready to send the sample, remember to retain a set so you can meet the specifications once you have a go-ahead from the buyer.
·
If you miss holding on
to a copy of the sample, you may not be able to win any quality or
specification-related disputes that the buyer might claim at a later stage.
·
Once these are in
place, the next step is to contact a courier company who will carry out the
shipping process.
·
Remember that
governments have certain regulations that limit exporting samples above a
certain value. Make sure you verify this information in advance with your
service provider before booking the courier.
·
Lastly, make the
payment based on the terms agreed with your buyer, and send your sample.
